Kind Leadership in Action: 4 Real Workplace Scenarios

1. Missed Deadlines Keep Happening

Scenario: A team member keeps missing deadlines even after reminders.

  • Start with a one-on-one meeting:

    • “I’ve noticed some timelines are slipping. Can we walk through what’s causing the delays?”

  • Ask before assuming:

    • “Is anything unclear or blocking you?”

  • Set support + accountability:

    • “I want you to succeed. Let’s create a simple system to keep things on track.”

Scenario: They bring good energy but aren’t meeting expectations.

  • Address both sides:

    • “You’re great for the team, but some deliverables are falling short.”

  • Speak with care and clarity:

    • “You’ve got the talent — let’s work together to get you on track.”

  • Add check-ins:

    • “We’ll do a quick weekly sync to support your progress.”

3. Tension Between Two Team Members

Step 1: Pick your moment

  • Think back to something this week that didn’t sit right.

  • A moment where:

    • You held back honest feedback

    • You avoided a tough conversation

    • You said yes to keep the peace

  • Now pick one of those that you want to handle differently.

    • That’s your focus for today.

Step 2: Choose when you’ll act

  • Pick one window in your day — after standup, during lunch, or before a meeting — when you’ll show kindness with clarity.

  • Set a calendar alert or write this down:

    • “Today, I lead with honesty and care.”

Step 3: Take one kind action

  • Here are simple ways to act on it:

    • Give clear feedback instead of soft praise

    • Say no with respect instead of avoiding it

    • Bring up a small issue you’ve been letting slide

    • Set a boundary you’ve been ignoring

    • Ask a question that gets to the root of a problem

  • One move. One moment. No extra drama — just quiet strength.

Step 4: Notice what changed

  • Later today, ask yourself:

    • Did I feel more clear or calm after saying it?

    • Did I respect myself more in that moment?

    • Did I make it easier for others to trust me?

  • You’re not fixing everything — you’re showing who you are.

Step 5: End with one line

  • Before your day ends, write this down:

    • “Here’s what helped me lead with more trust today: _____.”
      or

    • “Next time I’m tempted to avoid the hard part, I’ll try: _____.”

Provide a short, structured plan that includes:

  • Context: [Describe the situation briefly — e.g., “I need to give honest feedback to a teammate I usually avoid confronting.”]

  • Goal: [Insert your goal — e.g., “Be honest without sounding harsh.”]

  • Relationship: [Describe the connection — e.g., “They’re a peer / direct report / manager.”]

Please include:

  • Step-by-step guidance on how to handle the moment with honesty and care.

  • Example phrases I could use that sound natural and professional.

  • Tips for keeping calm if the conversation feels uncomfortable.

  • One reflection question I can ask myself afterward to check if I acted with kindness, not just niceness.

End with one short reminder I can repeat before the moment — something like a mantra to stay grounded and clear.”

Most people avoid hard conversations and call it kindness.

But holding back the truth helps no one in the long run.

The people you lead want clarity, not comfort.

Kindness is telling the truth in a way people can hear it.

You don’t need to be harsh. You just need to stop hiding.
