Real-Life Scenarios That Make Strategic Planning Work

1. You’ve just joined a messy team with zero direction

Scenario: You’re new to a team and everything feels reactive. No one can explain why certain tasks matter.

  • Start with Step 1:

    • Ask each teammate, “Where do you see this team going in 3–5 years?”

    • Write down the most common words.

  • Then move to Step 3:

    • Host a 30-minute whiteboard session.

    • Ask, “What’s actually moving us forward?”

    • Create two columns: ‘Moves Us Forward’ vs. ‘Wastes Our Time.’

  • When people see the gap between tasks and purpose, priorities become obvious. Direction becomes shared.

2. Your boss asked you to build a plan — but you’re stuck in meetings all day

Scenario: You’ve been told to “be more strategic” but can’t find the time to think beyond this week’s work.

  • Focus on Step 6 early:

    • Look at what’s already on your calendar.

    • Cancel or delegate 1–2 low-impact meetings.

    • Use that time for focused planning.

  • Jump to Step 4 next:

    • Don’t wait for perfect goals — draft 3 simple metrics based on what success should look like in your role.

  • Most people think they need more tools. What they really need is space.

    • Make that space, then use it.

3. You're in charge of a team that keeps missing deadlines

Scenario: Your team works hard, but things always run late. Tasks get dropped. No one knows who’s doing what next.

  • Start at Step 5:

    • Use a shared Google Sheet or Trello board and break every big goal into steps with names and dates — even if it’s messy at first.

  • Add a tiny rule:

    • No new work can be started until the board is updated. Make it part of every meeting.

  • Then review Step 8:

    • Take 10 minutes every Friday to walk through key numbers with the team — not just alone.

  • Visibility reduces confusion.

    • When the team sees progress and blockers together, they solve faster — without needing more meetings.

4. You want to launch a product or side hustle, but your day job eats your energy

Scenario: You have a great idea for a product but feel stuck because your 9–5 already demands too much.

  • Go straight to Step 3:

    • Pick one small offer you can finish in a weekend.

    • Use a grid to decide what’s urgent vs. what can wait.

  • Move to Step 6:

    • Block 2 hours this weekend.

    • Assign yourself time and budget like a project manager would.

  • Finally, Step 7:

    • Set a 30-day reminder to review progress — not to criticize yourself, but to adjust based on what actually happened.

  • Most people wait for the perfect time. You don’t need perfect. You need motion.

Here's how you can make it real today:

Step 1: Pick your step

  • Think about where you're stuck right now — unclear direction, scattered goals, no follow-through, or too many tasks.

  • Choose one step from the Strategic Planning Sheet that could actually help today (e.g. Set Clear Numbers, Turn Goals Into Tasks, Adjust As You Learn).

  • That’s your focus for the day.

Step 2: Set your action cue

  • Pick one moment when you'll take action — after your first meeting, during lunch, or right before you log off.

  • Add a sticky note or calendar reminder that says:

    • “Use my plan step today.”

Step 3: Do one real thing

  • Pick one visible action tied to your step.

  • Here are examples:

    • Know Where You're Going: Write a one-line future goal and put it at the top of your to-do list.

    • Focus On What Matters Most: Choose 3 tasks that move the needle — cross out the rest.

    • Assign Time & Budget: Block 90 minutes today to work on your most important goal.

    • Check the Numbers: Spend 15 minutes reviewing results, not just effort.

    • Turn Goals Into Tasks: Break one big goal into 3 clear next steps — with names and dates.

  • Keep it small. Keep it visible.

Step 4: Track what changed

  • Pause at the end of the action and ask:

    • Did this make the next move clearer?

    • Did I feel more in control or focused?

    • Did anyone else respond differently?

  • Small steps can shift entire projects.

Step 5: Write your one liner

  • Before the day ends, write:

    • “Here’s the move that worked today: _____.”
      or

    • “Next time I feel stuck, I’ll use Step __ to: ___.”

AI Prompt: “Act as a strategic planning coach. Create a simple action plan for me based on the following details:

  • Chosen Step from the Strategic Planning Sheet: [Insert your chosen step, e.g., “Turn Goals Into Tasks”]

  • My Current Situation: [Briefly describe your challenge, e.g., “My team keeps missing deadlines” or “I have too many priorities at once”]

  • My Main Goal for Today: [Write one clear goal for the day, e.g., “Break one project into small steps”]

Provide:

  • A clear, 3-step action plan I can do today to apply this step in real life.

  • One example of a small, visible action I can take in the next hour to get started.

  • Simple tips to stay focused and finish the action before the day ends.”

A great strategy isn’t about having it all figured out.

It’s about knowing what matters and moving forward anyway.

When goals stay vague, progress stays slow.

The most useful plans are the ones you can see, share, and adjust.

And the best leaders are the ones who aren’t afraid to make it simple.

Not later — but right now.

Until next time and with lots of love,

Justin
