4 Everyday Moments to Ask Better Questions at Work

1. Someone on your team seems off

Scenario: They’ve gone quiet, started missing deadlines, or just don’t seem like themselves.

  • Don’t ask:

    • “Are you okay?” — it’s too easy to brush off.

  • Ask instead:

    • “What’s been harder than usual lately?”

  • Pause and count to five in your head before saying anything else.

  • It shows you actually care, and you’re not just checking a box.

  • That pause gives them space to say what they might not say otherwise.

2. A project didn’t go well

Scenario: Something didn’t work out as planned, and you need to talk about it without making anyone defensive.

  • Don’t ask:

    • “Why didn’t this work?”

  • Ask instead:

    • “What do you think got in the way?”

  • Follow up with, “Is there anything I didn’t ask that I should have?”

  • It shifts the conversation away from blame and toward understanding.

  • That’s when people actually tell you what really happened — and what to do next.

3. People keep agreeing with you too much

Scenario: You’re the leader, but no one’s pushing back or offering different ideas — just nodding along.

  • Don’t ask:

    • “Any thoughts?”

  • Ask instead:

    • “What’s one thing I could be doing better?”

  • Add, “If you were in my position, what would you do differently?”

  • It removes pressure and flips the power dynamic.

  • People are way more honest when they feel like you actually want the truth — not just approval.

4. Someone says “I don’t know” a lot

Scenario: A direct report avoids decisions or keeps saying they’re unsure.

  • Don’t say:

    • “Just figure it out.”

  • Ask instead:

    • “What would help you feel more confident making this call?”

  • Wait. Don’t jump in too quickly to solve it for them.

  • It shows you’re not here to rescue or judge — you’re here to support their growth.

  • That small shift changes everything.

If you’re stuck on what to sell — don’t look for the perfect idea.
Ask the right question.

Start here:
“What do people always ask me about?”

Not once. Not twice.
The thing you’ve explained so many times, it now lives in your clipboard.
That’s your product — or at least the start of one.

Now go deeper:

  • “What do I get asked in DMs that I usually give away for free?”

  • “What’s something I explain often, but always in different ways?”

  • “What’s a question I wish I could just answer once — and point people to it?”

Those repeated questions are your clue.
What people keep asking you is what they already trust you to solve.

Here's how you can make it real today:

Step 1: Pick Your Focus

  • Choose one question skill you want to improve today.

  • Think about what’s been hard for you lately.

  • Examples:

    • I want to ask with less pressure.

    • I want to stop filling the silence too fast.

    • I want to stop asking surface-level questions.

  • Now write your focus in one line: “Today, I want to get better at ________.”

Step 2: Spot Your Window

  • Look at your day.

    • Where could this actually show up?

  • Find one real moment.

    • Not a perfect moment — just a real one.

  • Examples:

    • A 1-on-1 with someone on your team

    • A catch-up with a friend or peer

    • A reply to a vague answer in a meeting

  • Write it down if it helps. You’re just looking for a place to try.

Step 3: Plan Your Move

  • Right before that moment, ask yourself:

    • “What’s one better question I can ask here?”

  • Then do just that.

    • Make it clear.

    • Make it simple.

    • Ask it, and wait.

  • That’s your move for the day.

Step 4: Watch What Happens

  • After the moment, think about this:

    • Did their answer go deeper than usual?

    • Did they pause before answering?

    • Did you get more clarity than last time?

  • Write down one short thing you noticed. Even a small shift counts.

Step 5: Lock It In

  • End your day with this sentence:

    • “Today, I asked differently and this happened: ______.”

  • If you want to go further, write:

    • “Tomorrow, I’ll try again by ______.”

AI Prompt: “Act as a conversation coach. Help me prepare for one real conversation today where I want to ask a better, deeper question.

Today’s Goal: Ask one question that invites a more honest or thoughtful answer — without rushing, pushing, or stacking questions.

Here’s what I need from you:

  1. Ask me 3 simple questions to help me choose a real moment today where I can use this skill.

  2. Help me write one question I could ask in that moment that’s clear, simple, and goes deeper than usual.

  3. Give me a short checklist of what to do in that moment (how to listen, pause, and stay present).

  4. After the moment, help me reflect by asking:

    • What happened?

    • What surprised me?

    • What would I try next time?

Use simple language. Keep it clear, short, and focused on real life — not theory. I want to get better at asking, not just talking.”

You don’t need the perfect words, you just need real ones.

Most people listen to reply — not to understand.

You can change that with one small shift today.

Say less. Ask once. Then wait.

It’s not about what you want to hear — it’s about what they need to say.
